Silver Spoons Team Apps – FAQ

 Welcome to the quick guide to our three core apps: TimeTree, WhatsApp, and Sling. This page explains what each app is for, how to join, and the must‑know rules so our team stays organized and on the same page. 

 

  • TimeTree: Company calendar & Availability → events, deliveries, important event notes, time-off requests, availability, office closures.
  • WhatsApp: Real‑time team chat → the "Big Spoon" group for shift-day coordination, photos for event reviews, quick heads‑ups, asking for shift coverage in Server chat.
  • Sling: Scheduling & Clocking In → shifts, clocking in and out, time‑off requests, messaging tied to specific shifts.

 

Why three apps?  Each one is best‑in‑class for its job. Keeping uses separate prevents missed info and keeps our scheduling and event records clean.

Where do I get the apps?  iOS App Store or Google Play. Use your work phone number and work email when possible.


 What lives in TimeTree?

  • Company‑wide calendar of deliveries, staffed events, call times, kitchen prep timelines, vehicle usage, holidays/closures, event uniform (if specified), important event details.

How do I join?

         1) Install TimeTree. 2) Accept the invite from management (check email/SMS). 3) Open    the shared “Silver Spoons” calendar.

Notifications (important!)

  • We update this calendar constantly. To keep your sanity, silence TimeTree push notifications (allow badges only if you like).
  • Instead, check TimeTree at the start of your shift and again after lunch. Urgent, day‑of changes will be flagged in WhatsApp.

What can staff edit?

  • Staff do not add or edit events in TimeTree. Managers handle all entries and changes.
  • Your one action in TimeTree is the heart: tap the heart (Like) on an event to signal you’re available that day.
    • We add events throughout the day; liking any event on a date = you’re available for whatever pops up that day. If you are only available before/after a specific time, please write a note. 

If your availability changes

  • After you’ve liked a date: the scheduling manager cannot track rolling changes for everyone. If your availability changes, you must do all three:
    1. Remove the heart on the event/date in TimeTree, and
    2. Update your availability in Sling, and
    3. Message your manager immediately.

  • After you’ve been scheduled/assigned to an event: if anything changes, you must tell your manager immediately. Do not assume removing a heart or editing Sling is enough—direct confirmation is required because we have many part‑time staff and moving parts.

Why this matters

  • Most of our servers are part‑time and often check TimeTree when they’re not on the clock. A direct message to the manager prevents missed updates and last‑minute coverage gaps.

Calendar etiquette

  • Use clear viewing: Month or Agenda view to scan upcoming dates quickly.
  • Need something corrected? Leave a comment on the event and tag a manager—don’t delete or change details.


 What lives in WhatsApp?

  • Day‑of coordination, quick questions, route/parking updates, photos for post‑event reviews, heads‑ups on out‑of‑stock or missing items.

How do I join?

  • Install WhatsApp. Management will add you to several key group chats:
    • Big Spoon Feedback & Pics – where the office team shares client feedback (good and bad) and where Captains and delivery drivers post event‑day photos and the event/delivery review template. Every setup and all food at staffed events should be photographed and shared here.
    • Mileage & Reimbursements – where you record miles driven for company errands and submit any approved reimbursement items.
    • Servers – the go‑to chat for shift giveaways and pickups. If you have a question, ask it here—many experienced servers monitor this chat and can help quickly.
    • Event Setup & Décor Videos – where the packing team posts quick setup videos for staffed events. Once you’re scheduled, check this chat a couple of days before your event to preview what your setup should look like.

Posting rules

  • Keep it work‑focused.
  • If it’s urgent and time‑sensitive, @tag the person (e.g., @Julia).
  • Do not share client phone numbers or payment details in chat.


 What lives in Sling?

  • Weekly/monthly schedules, clocking in and out, time‑off requests, shift‑linked messages.

How do I join?

  • Install Sling and accept the invite using the email/text from management. Complete your profile with your preferred contact info.
  • Make sure to join the "Silver Spoons Management Group".

Requests & swaps

  • Time‑off: submit as early as possible; approvals appear in the app.
  • Availability updates: keep these current—Sling uses them for scheduling.

Clock‑in/Out (if enabled)

  • Use the in‑app clock for accuracy. If you forget, message your manager immediately. Please note, sling uses GPS to track your location to ensure people are clocking in/out at the correct location.
  • Sling automatically clocks out at the scheduled end time of your shift. If your shift runs over, you should be in contact with your manager so they can adjust,
